With QuickBooks Pro or Premier, you can use a bar code scanner to scan or enter a bar code manually when filling out the Item Name/Number field for new or existing entries in your company file. These bar codes are then used with invoices, sales receipts, purchase orders and inventory reports. With Quickbooks Enterprise Solutions 2012 and later, you can enable the add-on Advanced Inventory to access the Barcode Wizard, which can help you create and manage a system for all of your bar coding needs.
Setting Up Your Scanner
If your bar code scanner is configured to work with your computer, the scanner will work with QuickBooks financial software without any additional set up required. Follow the set up and installation instructions that came with your scanner and refer to the user manual or the manufacturer's website to make sure the Enter key function is not automatically used right after scanning. If this functionality is turned on, you may inadvertently save and close your transactions before you are actually finished entering the rest of your information. Using QuickBooks Pro or Premier, after you set up your scanner, simply click in the Item Name/Number field and scan or manually enter the bar code. Fill out the rest of the fields and click 'OK' to close the item. When you later open an invoice or sales receipt, for example, you will be able to select the customer or vendor and then click in the Item Name field before scanning the item's bar code.
Using the Barcode Wizard
Using Quickbooks Enterprise Solutions 2012 or later, enable the Advanced Inventory add-on and turn on the bar code scanning preference. Go to 'Edit' and click 'Preferences.' Select 'Items and Inventory' and click 'Advanced Inventory Settings,' 'Barcodes' and 'Enable barcode scanning.' Click 'Open Barcode Wizard' and select the optimal option for your circumstances, instructing QuickBooks to copy bar codes from the Item Name field, the Manufacturer's Part Number, the Purchase Information, a Custom Field or no field as of now. If you want the wizard to create new bar codes for you, either click 'All Items' or individually select the items you want. Click 'Next,' 'Finish' and 'OK,' closing the wizard windows before closing the Advanced Inventory Settings, Preferences and QuickBooks Information windows. The latter window will tell you how many bar codes were copied or created.
Viewing Created Bar Codes
To see your bar coding system as created by the Barcode Wizard, open the Item List by either clicking the 'Items & Services' icon or clicking 'Lists' and locating from the drop-down menu 'Item List.' Click the 'Item' button and select 'Customize Columns.' Choose 'Barcode' in the Available Columns options and adjust the placement of the columns as desired. Click 'OK' to close the window.
Printing Item Bar Code Lists
By accessing the Reports section in QuickBooks, you can view or print a full list of your bar codes. Click the 'Reports' menu, select 'Inventory' and then click 'Item Barcodes.' You will be able to see a list of all of your existing bar codes, which you can print by following the printing dialogue instructions.

After you’ve come up with a budget by employing some budgeting tactics, you record your budget in QuickBooks. To create a new budget in QuickBooks, follow these steps:
1Choose the Company→Planning and Budgeting→Set Up Budgets command.
This opens the Create New Budget dialog box, which you use to create a new budget. (Bet you wouldn’t have guessed that.)
Note: If you have previously set up a budget, QuickBooks displays the Set Up Budgets window rather than the Create New Budget dialog box. If QuickBooks displays the Set Up Budgets window, you need to click its Create New Budget button to display the Create New Budget dialog box.
2Select the fiscal-year period.
Identify the fiscal year you’re budgeting for. To do that, enter the fiscal year in the provided text box. If you’re budgeting for fiscal year 2015, for example, you use those buttons to change the year to 2015.
3Choose whether to create a profit and loss or balance sheet budget.
To create a profit and loss budget, select the Profit and Loss radio button, click Next, and proceed to Step 4. To create a balance sheet budget, select the Balance Sheet radio button, click Finish, and skip to Step 5.
Note that you use a different approach for profit and loss budgets and balance sheet budgets. For profit and loss budgets, you budget the amount of revenue or expense expected for the account for the month. For balance sheet budgets, you budget the ending account balance — that’s the ending account balance expected for the asset, liability, or owner’s equity account at month’s end.
4In the Additional Profit and Loss Criteria dialog box, specify additional profit and loss budget criteria, and click Next.
If you chose to create a profit and loss budget in Step 3, select the Customer:Job radio button to further extend your budget to include Job details; select the Class radio button to include classes in your budget; or simply select the No Additional Criteria radio button.
Note: In order to budget by class, you must first turn on class tracking.
5In the Create New Budget dialog box, choose whether to create the budget from scratch or previous data.
To create a budget from scratch and start with a clean slate, select the Create Budget from Scratch radio button. To create a budget based on your actual data from last year, select the Create Budget from Previous Year’s Actual Data radio button.
6Click Finish when you’re done.
QuickBooks displays the Set Up Budgets window.
